Committee Elections

Each year, in March, we elect a new BIMS Committee who can continue the hard work that the previous Committee has carried out. The new Committee can build upon the triumphs of previous years or re-imagine events and activities that BIMS have organised in the past. We advertise Commitee positions on the website and in the MedSoc bulletin at the beginning of March, so keep an eye out for updates.

Each year, we look to elect candidates in the following positions: 

President

In order to run for the position of President, the candidate must have spent at least one year in the previous Committee. The President has overall responsibility over all BIMS events and has the power to make overruling executive decisions in all BIMS affairs. The President must also develop a preliminary events calendar (representing the entire year’s events and activities) before the new academic year commences. The President is also responsible for maintaining the Society’s continuing success by hosting an Annual General Meeting (AGM) in March and ensuring that the newly elected Committee members have full visualisation of the BIMS mission statement and the year ahead.

Specific roles include:

  • Promote and explain the BIMS Constitution to the other Committee members at their first meeting
  • Chairing all Committee meetings and other meetings of BIMS
  • Producing a detailed meeting agenda to be delivered to the Secretary before each meeting
  • Being responsible to BIMS for all their actions and those of the Committee
  •  Having the power to delegate authority to any Committee member or member of BIMS, subject to the approval of the Committee
  • Having the power to summon a Committee meeting at any given notice
  • Meeting with the BIMS Honorary president at least once a year to ensure that she/he has full visualisation of BIMS events in the year ahead
  • Providing the principal link between BIMS and the College
  • Being responsible for the organisation of all society events in conjunction with the Vice President of Events and Vice President of Teaching
  • Working with the Website Officer in promoting all BIMS events
  • Representing BIMS to MedSoc and vice versa
  • Organising the BIMS stall at the Freshers’ Fair Event, ensuring maximum recruitment of members

Vice President of Teaching


The Vice President of Teaching oversees the organisation of both our pre-clinical revision lectures and tutorials (which take place during late November/early December) and the third year mock OSCE evenings (which take place during early March). It is highly important that these events are organised months in advance to account for the inevitable last-minute drop-outs of tutors, lecturers and student examiners. The Vice President of Teaching may delegate responsibility for certain organisational jobs to the Clinical Representatives.

Specific roles include:
  • Ensuring appropriate rooms and facilities are available for the tutors for all lectures and tutorials
  • Cross-checking all provisional dates for all BIMS events against all activities and events of the College and of MedSoc, ensure significant clashes
  • Ensuring that teachers are available for all lectures and tutorials at least eight weeks prior to the events to allow for adequate preparation time
  • Establishing a strong working relationship with tutors through email correspondence to ensure that tutors are well-informed of teaching objectives as well as dates, times and location of events
  • Providing tutors with certificates of recognition for their portfolios as proof of their involvement
  •  Collecting feedback from the students at all teaching events and ensuring that tutors have access to the feedback gathered at their teaching session.
  • Ensuring appropriate rooms and facilities (including examination equipment for students, and mark sheets and refreshments for examiners) are available for all Mock OSCE Evenings
  •  Ensuring that student examiners are available for all mock examinations at least four weeks prior to the events to allow for adequate preparation time
  •  Establishing a strong working relationship with student examiners through email correspondence to ensure that tutors are well-informed of teaching objectives as well as dates, times and location of events
  • Providing tutors with certificates of recognition for their portfolios as proof of their involvement
  • Collecting feedback from the students at all mock examinations and ensuring that examiners have access to the feedback gathered at their given session

Vice President of Events


The Vice President of Events oversees the organisation of all the Internal Medicine-themed events evenings (such as ‘Clinician in a Family Position’ and ‘How to Get Your Dream Job’) as well as overseeing the organisation of one-off teaching events (such as the Data Interpretation Workshop). As well as organising these annual BIMS events that will be familiar with the students, the Vice President of Events has full creative control over the organisation of new BIMS events that she/he thinks will be of value to the students. The Vice President of Events may delegate responsibility for certain organisational jobs to the Clinical Representatives.

Specific roles include:
  • Organising all non-teaching BIMS events held in previous years
  • Liaising with external speakers many months in advance to ensure their attendance
  • Ensuring lecture theatres are booked at least six weeks in advance to avoid hosting dilemmas
  • Imagining and executing new exciting and informative talks that will be of benefit to BIMS members
  • Maintaining a healthy relationship with external speakers to ensure annual repetition of events
  • Allowing all BIMS Committee members to deliver thoughts and ideas regarding new events and the improvement of established ones

Secretary


The Secretary has all administrative authority within the Committee. It is the Secretary’s responsibility to ensure that all Committee meetings are organised promptly and that all Committee members have accurate information regarding the time and location as well as the agenda for each meeting. The Secretary must also maintain accurate and up-to-date minutes of each meeting.

Specific roles include:
  • Maintaining a current and accurate register of BIMS members adding new members as appropriate
  • Organising Committee meetings at the instructions of the President
  • Preparing the agendas and keeping accurate, up-to-date minutes of Committee meetings
  • Conducting the official correspondence of BIMS through both electronic or letter correspondence when appropriate
  • Following up action points that arise from meetings, prior to the following meeting
  • Disseminating minutes of meetings to committee members within two days of any meeting

Treasurer
 

The Treasurer has three main roles within the Committee: 1) Ensuring that the BIMS financial account is accessible the President at all times; 2) Maintaining a healthy relationship with our charities by ensuring that charity donations are raised at every event the Committee organise and that all donations are directly transferred at the end of the year; 3) Raising sponsorship funds before the beginning of each year in order to maintain the finances required to host BIMS events.

Specific roles include:
  • The supervision and good order of the BIMS finances and the disbursement of all funds
  • Keeping clear and accessible accounts
  • Giving regular reports on the financial state of BIMS to meetings of the Committee
  • The acquisition of appropriate insurance cover for events that require it
  • Producing audited accounts for the financial year of their term of office at the Annual General Meeting (AGM)
  • Ensuring that BIMS abides by current laws relating to the finances of non-charitable societies
  • Renewing the subscriptions of BIMS to external bodies, including renewing website host subscription
  • Establishing contacts with external organisations for sponsorship
  • Establishing an online banking system accessible to themselves and the President only
  • Preparing the BIMS application for MedSoc funding through the annual MedSoc Grants process
  • Facilitating charitable activities either as standalone events or as an integration to Teaching or OSCE events, ensuring all charity finances are managed appropriately

Publicity Officer
 

The Publicity Officer is responsible making sure that all events have maximum turnout. For each BIMS event organised, the Publicity Officer must produce advertising media to communicate the event details to members, students of the college and physicians.

Specific roles include:
  • Advertising all events organised by BIMS
  • Communicating with other organising Committee members to ensure accuracy of advertised information
  • Ensuring the continuous advertisement of events a minimum of three weeks before event date
  • Producing posters in colour to be displayed on notice boards across the student areas of the College and affiliated NHS trusts
  • Displaying all posters electronically on all BIMS social media as well as providing regular updates and reminders of all BIMS events
  • Liaising with Vice Presidents in writing updates for the MedSoc bulletin

Clinical Representatives x 4


In order to run for the position of Clinical Representative, the candidate must be either in their clinical years or studying as an intercalating student. The Clinical Representatives ensure the smooth execution of all BIMS events (teaching and non-teaching events) and carry out organisational tasks delegated to them by the Vice Presidents. Each BIMS event requires a large amount of organisational power, and as such, the Clinical Representatives are essential for an efficient operation.

Specific roles include:
  • Carrying out all tasks assigned to them by the Vice Presidents
  • Being present at all BIMS events to ensure organisational success
  • Developing ideas for new non-teaching events which can be presented to the Vice President of Events during Committee meetings
  • Liaising with the Publicity Officer to advertise BIMS events at hospital trusts

Pre-Clinical Representative


The Pre-Clinical Representative maintains the communicative link between the BIMS Committee and First /Second Years by advertising the BIMS events before or after pre-clinical lectures. The Pre-Clinical Representative is also present at each BIMS event be a logistical assistant to  the Vice Presidents.

Specific roles include:
  • Communicating ideas from the preclinical years to the Committee
  • Promoting integration of junior medical students into BIMS events
  • Aiding other committee members in the organisation of other events when requested
  • Performing lecture shout outs to the whole pre-clinical cohort (both years 1 and 2)
  • Promoting BIMS amongst junior medical students and encouraging them to join

Website Officer
 

The Website Officer is responsible for developing and maintaining the Society’s online presence.

Specific roles include:
  • Maintaining the BIMS website
  • Overseeing the BIMS online calendar
  • Developing and hosting data collection and application forms for appropriate BIMS events
